How Royal Park Hotel handles personal information

1.Personal Information Protection Policy

Royal Park Hotel (hereinafter referred to as the "Hotel") recognizes the importance of protecting your personal information. The Hotel carefully follows all laws and legislations governing the protection of personal information in the course of its business activities. This protection policy ensures that personal information is securely maintained and used only as permitted under the Hotel's Privacy Policy.

Personal information is used only for the purpose(s) for which it was provided. When handling personal information, the Hotel complies with JIS Q 15001:2006 [Personal Information Protection Management System - Requirements] and all laws governing the protection of personal information as well as other related legislations.

2.Internal Supervision

To ensure the proper use of all personal information, the Hotel has established the following internal supervision:

  1. Strict regulations in the handling of personal information
  2. Strong measures to protect personal information from leakage, loss, or misuse
  3. A Chief Privacy Officer to oversee and strengthen internal supervision
  4. Internal training on privacy protection for all employees including board members
  5. An audit of the internal supervision to ensure it is faithfully being practiced
  6. Continuous efforts to improve internal supervision of personal information safeguards

3.Personal Information Collection and Use

  1. When collecting personal information, the Hotel clearly indicates its purposes for usage based on prior consent. If personal information is acquired by other means, usage is limited to the parameters specified in the Privacy Policy.
  2. Personal information should be provided on a voluntary basis only. However, missing information could result in the customer not being able to take advantage of all services available.
  3. The Hotel will not disclose personal information to third parties, with the following exceptions:
    • If the customer grants permission
    • If required by law to do so
    • If the physical or financial welfare of the customer, or other specific rights are in jeopardy, the Hotel may be compelled to supply data in order to protect the customer, even if it is impossible to seek prior approval
    • In situations where Japanese public sector organizations are working with private-sector companies such as the Hotel, which requires it to supply personal information, and it is not feasible to contact the customer in advance to gain approval
  4. The Hotel may delegate control of some or all personal information to third party agencies. Thorough assessment of third party information management systems will be done prior to sharing.
  5. The sharing of personal information collected on our website:
    In order to improve customer service, the Hotel may share data with all Royal Park Hotels and Resorts, and other member hotels. Personal information will never be disclosed to anyone under any other circumstances.

4.Contact

  1. All personal information-related inquiries will be answered immediately. In some circumstances, the deletion of personal data may be against the law and thus the Hotel may not be able to meet customer requests.

  • Depending on the request, customers may be required to submit further documents and/or answer further questions. Should the customer wish to receive an official response from the hotel by post, a 1000 yen fee will be levied.
  • Business hours: 9:30 A.M. - 5:30 P.M.
  • Closed on weekends, national holidays, year-end and New Year holidays

5.Privacy Safeguarding

Privacy Mark by JIPDEC (Japan Information Processing Development Corporation)

The Royal Park Hotel has been granted the Privacy Mark by JIPDEC (Japan Information Processing Development Corporation) that certifies the hotel is in compliance with Japan Industrial Standards (JIS Q 15001:2006 [Personal Information Protection Management System - Requirements]).

Customers

Personal information will be collected when customers utilize any hotel facilities such as guestrooms, conference or reception rooms, food/beverage services, fitness club, etc. (hereinafter referred to as "services").

Examples:

  1. For confirmation of reservations, shipment of goods, payments and for future improvements
  2. For contacting customers with reservation information, advertisements, questionnaires etc. via telephone, fax, post or e-mail
  3. To notify customers about hotel vendors (personal information will not be provided to vendors)
  4. To gather statistical data to further improve services
  5. For member organizations to manage member information and provide services to members

Equity holders

  1. To enforce rights based on business law and provide hospitality programs for equity holders

In order to improve service to its customers, the Hotel may share customer data with Royal Park Hotels and Resorts and its member hotels. Customers' personal information is never disclosed to anyone for any other reason.

7. Protecting personal information
This Hotel has established a customer information oversight committee to protect customer information from fraudulent use.

  1. To help ensure that customer information is kept private, the Hotel has taken steps to protect both operations and systems from accidental loss, destruction, falsification, or disclosure.
  2. Customer profiles are stored in a system protected by a firewall designed to prevent outside access.
  3. The Royal Park Hotel Group's Internet transmissions of customer data are encrypted using SSL (Secure Sockets Layer) software.
  4. Data collected view the homepage
    The Hotel does collect access logs as part of collecting information from its homepage. However, these logs are not used for any other purpose but compiling statistics for homepage operation and ascertaining the origin of unauthorized access.

8. In-house system
In an effort to provide greater service to customers, Hotel employees have implemented the precautions necessary to protect personal information, and have a comprehensive monitoring system for external contractors.
